Correspondence with Sponsors and Exhibitors When booking a sponsorship package or exhibition booth please appoint and advise a single point of contact. All information including sponsorship, exhibition, registration, function and accommodation bookings will be recorded under the one name. All confirmations and notices will be sent to this person Preliminary Schedule Bump In Bump Out Exhibitor Displays Each display is 3m wide x 3m deep x 2.4m high. Booth Inclusions: front runner covered walls, Aluminium framed fascia name board sign featuring computer cut-vinyl lettering, 2 x 120 watt spotlights, 1 x 5amp power point per, 1 x clothed trestle table and 2 x chairs (if required). Adelaide Expo Hire Adelaide Expo Hire can supply you with details on custom display stands,
AV and/or furniture hire etc. Additional costs associated with these items
are payable to Adelaide Expo Hire. Exhibition Delivery Information Please ensure all display builders, sub-contractors and suppliers are given this information. IMPORTANT: Confirm with your courier before you arrive at the venue that your consignment has been delivered and note the time, date and who signed for the delivery Adelaide Convention Centre Manual Please ensure all display builders, sub-contractors, suppliers and booth staff are given this information. They must be familiar with the venues regulations of use. A conference name badge will be required to access the exhibition area. Adelaide Convention Centre Deliveries The correct delivery labels must be used to send ALL booth items to the Adelaide Convention Centre. Deliveries without the correct labels will not be accepted. You will also need to email confirmation of the courier, dispatch date and consignment number so we can provide the Centre with a full delivery list BEFORE the conference. Deliveries cannot be delivered to the Convention Centre prior to Sunday 18 September (setup day). You will be required to use the services of freight forwarder. Agility - Fairs & Events Logistics are the preferred supplier of the Convention Centre and are based on-site, please note their contact details below. file or a high quality logo in JPG format. Sponsors' logos will be displayed
on the conference web site, registration brochure, program & abstract book
and in the conference proceedings (where applicable). Signage
All signage is
to be freestanding unless otherwise approved and is subject to venue
pre-approval. Payment Schedule
Sponsorship – 50% deposit is required within
one month of receipt of the application form and the final 50% before Friday
22 July 2011.
Exhibition
– in order to secure your booth, full payment is required within 7 days of
Plevin and Associates Pty Ltd receiving your booking form. Sponsorship and/or Exhibition Cancellation Policy Once a booking form has been received for Sponsorship or Trade Exhibition opportunities, any cancellation must be advised in writing. If the cancellation is received by 18 June 2011 an administration fee of 25% of the total price is retained. If the cancellation is received after 18 June 2011, no refund is applicable unless the sponsorship package or trade booth is resold where 25% of the total price is retained
